OverGravity Gymnastics Safeguarding Policy

1. Introduction
OverGravity Gymnastics is dedicated to providing a safe, inclusive, and supportive environment for all participants, staff, and visitors. The welfare and safety of children, young people, and adults involved in our activities are paramount, and this policy outlines our commitment to safeguarding everyone at our club.
2. Scope
This policy applies to all members, coaches, volunteers, staff, and individuals associated with OverGravity Gymnastics. It encompasses all activities, events, and interactions conducted by the organization.

4. Staff and Volunteer Recruitment
OverGravity Gymnastics follows a rigorous recruitment process to ensure the safety of our participants:
- Interviews: Candidates are assessed for suitability based on their skills and approach to safeguarding.
- Reference Checks: Professional references are obtained and reviewed before hiring.
- Background Checks: All staff and volunteers undergo enhanced Disclosure and Barring Service (DBS) checks.
- Observation: Prospective staff assist during a class, allowing their interaction with participants to be observed.
5. Coach-to-Participant Ratios
To ensure safety and effective supervision, OverGravity Gymnastics maintains the following coach-to-participant ratios:
- Pre-School Gymnastics (Under 6 years): 1 coach to 8 participants.
- Recreational Gymnastics (Ages 6 to 9): 1 coach to 8 participants.
- Recreational Gymnastics (Ages 10 to 15): 1 coach to 12 participants.
- Recreational Gymnastics (Over 15): 1 coach to 16 participants.
Adjustments may be made depending on the activity, with a focus on enhanced supervision. Ratios are reviewed periodically to ensure compliance with best practices and safety standards.
6. Parental Involvement and Consent
To foster transparency and trust, parents/guardians are actively involved:
- Consent Forms: Parents/guardians are required to complete consent forms prior to their childās participation.
- Observation Options: Parents may observe classes either in the same room or via a live video feed displayed on a screen in the waiting area.
7. Code of Conduct
All participants, parents, and staff are expected to adhere to OverGravity Gymnasticsā Code of Conduct, which promotes respect, responsibility, and safety. Key principles include:
- Treating all participants, coaches, and staff with respect.
- Following the rules and guidelines set out by the club.
- Prohibiting any form of bullying, harassment, or discrimination.
Failure to adhere to the Code of Conduct may result in disciplinary action, up to and including termination of membership.
8. Reporting Concerns
Any concerns regarding the welfare of a participant, staff member, or volunteer must be reported immediately to the Safeguarding Officer. All reports are handled confidentially, ensuring the safety of individuals involved. Steps include:
- Listening and documenting the concern in detail.
- Consulting with the Safeguarding Officer for advice and action.
- Referring to external authorities (e.g., local safeguarding board, police) if necessary.
Staff and volunteers are trained to recognize signs of abuse and neglect and are required to act promptly.
9. Photography and Media Consent
OverGravity Gymnastics respects the privacy of all participants:
- Parents/guardians can opt in or out of photography and media use during registration or at any time thereafter.
- Photographs and videos are used exclusively for promoting club activities on our website and social media platforms.
- Consent is sought before any material featuring participants is published.
No unauthorized photography or video recording is permitted during classes or events.
10. Policy Review
This safeguarding policy is reviewed every three years or whenever significant changes occur, such as updates to legislation or best practices. Feedback from staff, parents, and participants is encouraged to ensure the policy remains effective.
