OverGravity Gymnastics Terms and Conditions

Our responsibilities to you

 1. We will do everything we reasonably can to provide you with a safe environment and safe equipment to learn and practice your gymnastics.
 2. We will provide you with qualified coaches in every class, course or private lesson.
 3. We will allow you to make your own decisions about what exercise you can carry out whilst in your class or lesson provided you do not exercise beyond your capabilities.

Your responsibilities to us

4. Account Setup and Waiver

Before attending the gym, you must create an account on our OverGravityGymnastics website at https://overgravitygymnastics.uk/book-now and complete our Waiver and Health Risk Declaration form. If registering for a minor, please refer to paragraph 5.

5. Registration for Minors

If you are under 18 years old, but not younger than 16, you can set up an account on the Glofox App. However, we require your parent or legal guardian to register your details at the following link: https://overgravity-kids.classforkids.io/. Children aged 15 or younger must be registered only on our Class4Kids booking system at https://overgravity-kids.classforkids.io/. Please note that the minimum age for participation in our adult group classes and activities is 16.

6. Advanced Booking Requirement

All classes must be booked in advance. We do not offer a ‘drop-in’ service.

7. Compliance with Coach’s Rules and Guidance

You are required to adhere to the rules set by the coach in your class and follow the guidance they provide. These rules and guidance are in place to ensure the health and safety of both yourself and your classmates.

8. Personal Account Usage

Your account is personal to you, and therefore, you should not allow a friend or relative to attend a class on your behalf. For insurance reasons, we cannot permit anyone to enter the gym who has not personally registered with us and signed the Waiver of Liability.

Our booking system

9. Booking Options

Once your account is set up, you can purchase various options through our online booking system, including individual classes, Class Packages (bundles of classes), workshops, courses, and memberships. For private lessons, please email info@overgravitygymnastics.uk.

9a. Individual Class Purchase

When you purchase an individual class, you are automatically enrolled in that specific class.

9b. Class Package Purchase

Upon purchasing a Class Package, you can use each credit to book any of our 60-minute classes and open sessions. Classes exceeding 60 minutes can only be purchased at a fixed price displayed on the system. Class Package credits have expiration dates based on the number of classes in the package, indicated at the time of selection. Unused credits will expire after the stated expiration date and cannot be reinstated.

10. Booking Responsibility

You are fully responsible for verifying the date and time of the class you book. If you mistakenly book the wrong class within our late cancellation period (see paragraph 25), you can request a class credit within 15 minutes of making the booking. Requests made after this time will not be eligible for a refund.

11. Workshop and Course Purchase

Upon purchasing a workshop or course, you are automatically enrolled.

12. Membership Purchase

By purchasing a membership, you accept all the terms and conditions outlined in the Membership Agreement (refer to “Our Memberships” section).

13. Payment Options

Payments can be made through our online booking system using all major credit and debit cards. Cash payments are also accepted at the gym, but only when purchasing a class package; if you wish to make a cash payment, please email us at info@overgravitygymnastics.uk

13.a When making a cash payment, we will add your class package in your account. You will be then responsible for your own bookings.

14. Booking Availability

Classes become available for booking two weeks before the scheduled start date.

15. Waiting List Option

We offer a ‘waiting list’ option if a class is full. Details on how it works are as follows:

  • If you try to book a class that is fully booked you will be asked if you want to be added to the waiting list for that class. You can accept or refuse the invitation to join the waiting list.
  • When a spot becomes available you and all the other members in waitlist willl receive a push notification or email about the space becoming available and you will be asked if you want to join. The first member accepting the request, will be added to the class.

Our refund policy

15. Refunds for Single Classes and Class Packages

If you have purchased a Single Class or a Class Package and decide not to continue with the classes, you can request a refund for the unused portion of the class or course package within 14 days of the original purchase date.

16. Refunds for Workshops and Courses

If you purchased a Workshop or a Course and wish to cancel, you can request a full refund if you haven’t attended any appointments included in the Workshop or Course, and you inform us within 14 days of the original purchase date. Refunds will not be provided if the cancellation is made less than 48 hours before the scheduled Workshop or Course, except for the OG x CUC Stunt Immersion Workshop, which requires a cancellation notice of 1 week.

17. Refunds for Memberships

If you purchased any of our Memberships and decide not to attend the training sessions, you can cancel your purchase and request a refund within 14 days of the initial purchase date.

17a. Proportionate Charges for Immediate Memberships

If your membership started immediately upon purchase and you cancel within the 14-day period, proportionate charges will be due. We will refund any amount you have paid us, reduced by an amount proportionate to the number of days between the start of your Membership and the date you communicated your cancellation to us.

17b. Refunds for Restricted Access Memberships

If your membership has restricted access to our classes and you cancel within the 14-day period, the refund will be proportionate to the amount of credits left on your membership.

17c. Refund Process

Refunds will be made no later than 14 days after we receive your cancellation request, using the same means of payment used for the initial transaction.

18. Refund Limitations

Refunds are not available in other circumstances, including cancellations due to injuries, illness (including COVID) and travel disruption, unless within the terms of our cancellation policy specified below. For new or first-time visitors, we recommend starting with a single class before investing in a class or course package.

18a. Relocation Policy

In the event of the gym’s relocation within the M25 area, class credit refunds will not be applicable, as we are committed to relocating to an accessible area close to public transport and tube stations. We will provide at least one month’s notice of any planned relocation, which will be prominently displayed in booking confirmation emails, on our official website, and within the gym premises. Members are encouraged to consider this information when purchasing class packages.

19. Refund Request Process

If you believe you are entitled to a refund, please email a refund request to info@overgravitygymnastics.uk, and we will process it as soon as reasonably possible.

Class Packages and Credits

20. Class Package Usage

A Class Package provides you with a set number of Class Credits to book our group classes. These credits are valid for all our 60-minute classes and open sessions, excluding Courses, Workshops, and any classes longer than 60 minutes not specified in this paragraph.

21. Credit Management

When you book a class or classes in advance, the credits will be reserved for your bookings and unavailable for other classes during that time. If you wish to join a class sooner than your future booking and do not have available credits, you can:

  • Cancel the future booking outside the late cancellation period to reinstate the credit to your account.
  • Purchase the class directly from the system using the pay-as-you-go option or buy a new class package.

22. Pay-As-You-Go (PAYG) Pricing

If you request to join a class at the gym without available Class Credits, you will be charged the PAYG price for the class.

23. Credit Transfer Policy

Credits cannot be transferred to another person’s account. However, you can make a payment on behalf of a friend if needed.

Our cancellation policy

Our Memberships

Membership: every membership offered by OverGravity Gymnastics.

a) Starting your Membership

24. Class Cancellation Policy:

You may cancel a class up to 12 hours before its scheduled start time. If you have purchased a single class or a class pass, the credit for the cancelled class will be added to your account under ‘Credits’. You can use this credit to book another class the expiration date of your package. If you paid directly for the class you booked nad you cancel with enough notice, you can use the credit again within 1 month. If you cancel less than 12 hours before the class starts, the credit will be forfeited, and we are unable to provide a refund.

25. Course Cancellation Policy:

If you have purchased a Course and cannot attend one of the scheduled appointments or classes, the missed portion is non-refundable and non-transferable. To cancel a Course, please provide a 48-hour notice via email. Refunds are subject to our “Refund Policy” outlined in paragraph 16.

26. Workshop Cancellation Policy:

You may cancel a workshop up to 48 hours before its scheduled time. If you cancel with more than 48 hours notice, you may be entitled to a refund according to section 16 of our “Refund Policy”. Exceptions apply as per section 16a of our “Refund Policy”.

27. Private Lesson Cancellation Policy:

Private lessons can be cancelled up to 24 hours before the scheduled time. Cancellations with less than 24 hours notice will be charged the full amount. If payment was agreed upon in cash, an invoice will be issued, and payment must be made within 14 days.

28. Membership Cancellation Policy:

Memberships can be cancelled up to 4 days before renewal. To cancel, email info@overgravitygymnastics.uk with your name, surname, and email address. Your membership will remain active until the day before the next payment is due, at which point it will automatically terminate. You may start another membership at any time. If you cancel your direct debit prior being charged for your purchase and without prior notification to us via email will result in your account being blocked. 

29. How to Cancel a Class:

You can cancel a class through the Glofox App by navigating to ‘Bookings’, selecting the class, and clicking the ‘cancel’ button. Confirm the cancellation to finalize. If you encounter issues with the online booking system, email us at info@overgravitygymnastics.uk to request cancellation. We will reinstate the credit for the cancelled class in your account, and confirm this in writing upon receipt of your email, provided it adheres to our cancellation policy.

1. Online Joining Process:

Our joining process is conducted online. Full membership prices and options can be found on our website www.overgravitygymnastics.uk. Please note that prices may change from time to time, and when this occurs, the updated prices will be displayed before purchase and communicated to customers with rolling monthly memberships. By completing the online joining process, you are accepting all the terms and conditions outlined on this page and in the Memberships section.

2. Membership Agreement Acceptance:

This Membership Agreement commences upon your acceptance of the terms during the online joining process. By accepting the terms, you agree to pay any applicable Joining Fee (if any), Membership Amount, and Monthly Membership Amount. These amounts are displayed at the beginning of the joining process and again before you confirm your payment instruction.

3. Membership Start and Renewal:

Your Membership begins immediately upon completion of the joining process and will automatically renew on the 1st of each month or every 30 days if set to start immediately upon purchase. If you set up your Direct Debit after the 1st of the month, you will be charged a proportionate amount equal to the remaining days until the end of that month.

4. Compliance with Club Rules:

You agree to comply with the Club Rules and to use the gym facilities and equipment properly. If unsure, consult a member of staff. We are not liable for any injuries resulting from incorrect use of our equipment or facilities.

5. Age Confirmation:

By joining, you confirm that you are at least 16 years old. Valid proof of age may be requested if we suspect you are under 16. Failure to provide valid proof of age upon request may result in termination of your membership.

6. Liability for Damage:

You are liable for any damage caused to our equipment or facilities due to your negligent use.

7. Notification of Personal Details Changes:

You agree to promptly inform us of any changes to your personal details, including contact information. This should be done through the online Member Area.

b) Using the gym

  1. Entitlement to Gym Access:

You are entitled to access and use the gym defined by your Membership until termination or suspension of that Membership pursuant to this Agreement.

  1. Availability of Gym Facilities:

We will make reasonable endeavours to make available to you the rights and privileges of your Membership of the gym. This includes access to the gym and gym equipment, changing areas, staff, and independent self-employed trainers for general advice. We will make reasonable endeavours to communicate to you in advance if we are unable to make available to you the rights and privileges of your Membership.

  1. Temporary Closure for Maintenance:

We may, with reasonable notice and at our discretion, close our premises for reasonable periods of time to carry out maintenance, repairs, refurbishment, cleaning, or for other reasons outside of our control, including at least 5 days a year for necessary maintenance or other work. We will endeavour to reopen facilities as soon as is reasonably possible in these circumstances. You agree that you will not be eligible for any refund for the temporary interruption in services during the period.

  1. Membership Access Times:

Depending on the type of Membership, you will be able to enter the gym during specified times only, as set out in our “Membership Types” section below.

c) Membership Types

Open Session Unlimited Membership:

This monthly Membership will give you unlimited access to our Gymnasium during the open sessions set in section 3 of the Open Session Membership. There is no joining fee, and it has an immediate start upon purchase.

  1. Booking Requirements:

    You will still need to book yourself into each open session via our booking system or the App. Your credits will reset at the end of every membership period (30 days).

  2. Membership Scope:

    The Open Session Unlimited Membership is only valid for our Open Sessions and does not include any of our Group Classes or other activities.

  3. Open Session Schedule:

    Our current Open sessions are as follows:

    • Monday: 2pm – 4pm
    • Tuesday: 2.30pm – 5pm
    • Wednesday: 10am – 12pm
    • Thursday: 2.30pm – 5pm
    • Friday: 3pm – 6pm
  4. Changes to Open Session Times:

    Open session times may be subject to change. These changes will be announced on our dedicated Open Session Page.

OG-5 Membership, OG-10 Membership

These monthly memberships grant you limited access to some or all of our group classes as outlined in paragraph 3 below. There is no joining fee, and membership starts immediately upon purchase. Memberships are monthly rolling, automatically renewing unless canceled as per the terms outlined in the “Cancellation Policy” in paragraph 24.

  • Booking Requirements:

    You are required to book yourself into each class using our booking system or the App. Credits will reset at the end of each membership period, and any unused credits will be forfeited.

  • Membership Access:

    a. OG-5 Membership: Grants access to any of our 60-minute classes and open sessions, limited to 5 times a month.

    b. OG-10 Membership: Grants access to any of our 60-minute classes and open sessions, limited to 10 times a month.

  • Benefits:

    Additional benefits associated with a membership, if applicable, will be listed on our App or Web portal under the description of each membership plan. These benefits are valid only within the duration of the membership. Once the membership expires or is canceled, the associated benefits also cease to be valid.

d) Canceling, Changing and Refunding your Membership

1. To cancel your Membership read paragraph 29 in section “Our Cancellation Policy”. 

2. For membership refunds, check paragraph 17 of our “Refund Policy”.

Injury Policy and Refunds Procedure

In the event of injury during participation in any of our activities, it’s important to understand the following procedures:

  • Pay as You Go Options: We regret that we are unable to offer refunds for classes missed due to injury or classes attended where you got injured.
  • Class Packages: If you sustain an injury during a class, we cannot refund the cost of that class. Additionally, we are unable to extend the expiration date of your package, as you have acknowledged and accepted the inherent risks associated with our classes upon purchase.
  • Monthly Memberships: If you sustain an injury within the first 14 days of your first month of membership, you may request a refund according to the terms outlined in paragraph 17 of our Refund Policy. Alternatively, you have the option to cancel your membership at the end of the month by contacting us at info@overgravitygymnastics.uk. Please note that we are unable to offer monetary refunds for any remaining class credits within your membership if the injury occurs while you still have available credits for that month.

By accepting our terms and conditions and participating in our activities, you acknowledge and accept that inherent risks are involved, and our club does not provide personal insurance cover. We advise individuals to seek personal insurance coverage before attending our activities to mitigate potential financial losses resulting from injury-related work absence and unused class credits.

Relocation

In the event of the gym’s relocation within the M25 area, class credit refunds will not be applicable, as per paragraph 18a of our Refund Policy.
 Members are encouraged to consider this information when purchasing class packages.

Class packages and membership with an expiration date may be extended for an equal amount of time the gym will remain close whilst we move to the new  location.
